GENERAL TERMS AND CONDITIONS

1. REGISTRATION AND CONFIRMATION
Submission of an online registration is regarded as a firm booking (subject to availability) and acceptance of these terms and conditions.
Registration is subject to capacity limitations. Registration must include both names of the registered person to ensure their inclusion into the planning of the social programme. Upon receipt of registration payment, registration is considered official and effectual. This document is a valid VAT invoice which may be submitted to the local tax and revenue office for tax purposes. Invoice for the payment, issues by THE ORGANISER, will be sent by e-mail within 2 weeks from the payment. Cancellation charges will apply for all bookings.

2. PAYMENT, INVOICING AND DUE DATE FOR FEES
Fees for the scientific programme of the event will be charged in the name and on behalf of THE ORGANISER inclusive the statutory VAT rates. Fees for the Catering will be charged in the name and on behalf of THE ORGANISER inclusive the statutory VAT rate.
Please note that payment of all fees must be made in full and in cleared funds in the day of the submission of your registration.
THE ORGANISER reserves the right to cancel any registration without warning at any time prior to the start of the event if all fees due have not been paid by the relevant time. In the event that the Institute does not exercise its rights of cancellation prior to the event, delegates whose fees have not been paid by the start of the event shall be required to pay on-site.
All fees are due upon the registration form and hotel-booking submittion. MasterCard and VISA credit cards are accepted.

3. SCOPE OF SERVICES
Event fees and day tickets include participation in the scientific programme only. Included in this fee are programme book, abstract book, tickets for the social programme and name tags. These items are generally handed out at the venue.

4. HOTEL RESERVATIONS, DISCLAIMER
THE ORGANISER acts as an intermediary for hotel reservations. Therefore changes and cancellations have to be addressed to the THE ORGANISER directly. The cancellation terms of hotel Admiral apply.

5. USE AND STORAGE OF DATA
The information given to THE ORGANISER by the delegates will be recorded in the Institute's databases and will be used for administration purposes.
Information provided by you will be solely used for the purposes of contractual performance and/or the sending of event invitations from THE ORGANISER. 
THE ORGANISER may also share this information with providers of services relating to the event (e.g. venues and hotels) for purposes of fulfilling your booking.
THE ORGANISER will not share it with on-line retailers but may disclose it to third parties if this is required for a legal or regulatory reason.
THE ORGANISER is not responsible for the acts or omissions of any third party to whom it is entitled to pass delegates’ information under this section.
Your information will not be provided to third parties unless you have provided written consent. You have the right to request information at any time about your saved data without giving reason. Information can also be edited, delete or blocked at any time. You may withdraw your consent to use your personal information by contacting mares2020@io-bas.bg
Unless THE ORGANISER receives an explicit written request in advance from a delegate confirming that they do not want to share their contact information, a list of all delegates, their affiliation institutions and Email addresses may be included in the delegate packs and on lists of delegates.

6. CANCELLATIONS, CHANGES, REFUND POLICY
Cancellations can be made in written form only and will only be accepted if received by 15 August 2013.  A cancellation fee of €25.00 will apply. The same terms apply for cancellations of the social programme, however no cancellation fee will be charged.  Any cancellations after this date or no-shows at the event are not eligible for a refund and the full fee in accordance to the registration invoice will be due. Any changes in booking, after booking confirmation has been issued, will result in a handling fee of €15.00.  Any requested additions to existing reservations or reservations made during the event on-site will be processed according to availability.
If you feel you require a refund (e.g. the payment was made by mistake) you may request the refund by contacting us. We review all refund requests on a case-by-case basis and reserve the right to decline any refund for any reason.
If a refund is approved, depending upon how you made the original payment, your refund will be credited to your credit/debit card within 2 months period.
Under almost any circumstances, we will not provide a refund if claim is received after 15 August 2013.

7. EVENT CANCELLATION
There is limited capacity for all events. For certain events a minimum number of participants is required.  If the minimum number of participants is not reached, the organiser reserves the right to cancel all or parts of the event on a short-term notice. In this case, all paid fees will be fully refunded within 2 months period from receiving the notification.

8. FORCE MAJEURE, DISCLAIMER
The organiser is responsible for all changes to individual parts of the event. Claims for damages are excluded if the staging of the event or individual components are hampered or prevented by unexpected political or economic events or generally by force majeure or by the cancellation of speakers or if similar changes are required.
